Privacy Policy

Privacy policy and spam policy

In the course of conducting its normal business activities Quadrant Superannuation Pty Ltd, Trustee for the Quadrant Superannuation Scheme, referred to as 'Quadrant' in this privacy policy, collects, records, maintains and uses personal information, which members rightly expect to be relevant, accurate, verifiable and secure. This document sets out our policies and procedures in relation to the management of the personal information that we collect.

Our commitment to your privacy

Quadrant is committed to ensuring the confidentiality and security of your personal information. The Commonwealth Privacy Act requires us to handle your personal information in accordance with a set of principles, known as the National Privacy Principles.

The information we collect

When you join Quadrant we need to collect and hold certain personal information about you. The type of information collected depends on the products and services you require from Quadrant and may include:

  • Your name, address, contact details, banking details and investment instructions
  • Your nominated beneficiaries and employer details
  • Details of your financial advisor or other person you authorise to act on your behalf,
  • Insurance related information such as your medical history, salary information and other health information.

Quadrant only collects information from you, your employer, or a third party in which case we will obtain your consent, that is necessary to administer your membership or provide the services agreed upon. That is managing your account and keeping you informed of opportunities available to you as a member of the fund.

We collect information about you for the purpose of complying with the requirements of the Corporations Act in providing financial services and also for the purpose of reporting to AUSTRAC under the Anti-Money Laundering and Counter Terrorism Financing Act 2006.

Although in certain circumstances we are required to collect government identifiers such as your Tax File Number, Medicare number or pension card number, we do not use or disclose this information other than when required or authorised by law or unless you have voluntarily consented to disclose this information to any third party.

Administration

Quadrant owns and operates a service company known as Quadrant First Pty Ltd (ABN 78 102 167 877, AFSL no. 284443), which undertakes the administration and provides advice and service delivery to members and participating employers. All dealings with Quadrant First Pty Ltd are considered to be with Quadrant for the purposes of our privacy policy.

Surveys

We may also collect personal information through surveys undertaken to gain feedback on our products and services and help us develop future products and services to meet your needs. We will always tell you about the purpose of our surveys and participation is entirely up to you. The collection of this information will only be done with your consent.

Website

When you use our website we may collect information from you. The only personal information we collect is what you tell us about yourself if you complete an online form or request information from us by email. To help us meet member needs we may also collect information on how people use our website. We do not link this information back to other information that you may have provided us.

Our website utilises cookies to provide you with a better user experience.  Cookies also allow us to identify your browser while you are using our site - they do not identify you.  If you do not wish to receive cookies you can instruct your web browser to refuse them.

Marketing

Quadrant does not consider any activity associated with managing the fund or informing and educating members to be marketing.

However, where Quadrant does involve itself in marketing related activities, members will be given the opportunity to opt out. We maintain a register for those individuals not wanting direct marketing material.

Family law

Quadrant may be required to disclose your personal information to your spouse, former spouse or prospective spouse on receipt of a complying family law request in accordance with the requirements of the legislation.

How we use your information

One of the primary reasons we collect, use or disclose your information is to assess your application for membership, maintain your superannuation account and provide you with access to related products and services.

There are instances where we need to give information about you to third parties, however there are strict controls on how they can use this information. The types of organisations to which we may disclose your personal information include:

  • Our administration and advisory services company Quadrant First Pty Ltd, which is owned by the Quadrant Trustee.
  • Insurers and reinsurers, doctors or other medical service providers for the purpose of underwriting your application and assessing claims.
  • Actuaries, accountants, auditors and legal advisors.
  • Organisations undertaking assessment of claims and compliance reviews.
  • Organisations providing mailing services, maintenance of our information technology systems and printing of documents and correspondence.
  • Your spouse or former spouse, to the extent required by law.
  • Any fund to which your benefit is to be transferred or rolled over (including the administrator of that fund).
  • Relevant government organisations including the Australian Taxation Office, the Australian Prudential Regulation Authority, Australian Transaction Reports and Analysis Centre and the Australian Securities and Investments Commission.
  • Third parties, if you give us permission to do so (e.g. a financial planner you are dealing with).

How we protect your information

We maintain the security of your information by restricting access to only those staff and service providers required to use it to manage your account. For example, your health information will only be disclosed to providers such as insurers, doctors, administration companies and assessors who are directly involved in underwriting your policy or the assessment or management of any claim.  We have security measures in place to ensure that the information is stored securely and protected from unauthorised access, modification or disclosure. For example, we use firewalls, identification checks and use of passwords.

Accessing your own information

You may request access to the information we hold about you by contacting the Quadrant Trustee on 1800 222 209 and in the event that we refuse your request, we will provide you with an explanation for that refusal.

Quadrant is required under law to retain your personal information for a period of time after you have ended your relationship with us, which in some cases can be for several years.  When it is no longer necessary to hold your personal information in our archives we will attend to the secure destruction or deletion of your personal information.

Providing your consent

You are not required to give us the information that we request. However, if you do not or the information you give is not complete or accurate, this may prevent or delay the processing of your application or any claim, affect your eligibility for specified insurance cover or prevent us from contacting you.

Help us ensure we hold accurate information

Quadrant takes all reasonable care to ensure that the personal information we collect, use and disclose is accurate and up to date. The accuracy of information depends on the information you provide. To help us keep your information up to date:

  • Let us know if there are any errors in your personal information that we hold.
  • Keep us up to date with changes to personal information such as your name and address.

You have the right to ask us to correct any information we hold about you if you believe it is not accurate, complete or up to date. We will correct information that we are satisfied requires alteration. 

If you have a concern about this or anything else about the privacy of your information, you may lodge a complaint with us by writing to:

If our Privacy Officer is unable to resolve your complaint, then you may request that it be considered by the Quadrant Trustee. If you are not satisfied with the decision of the Quadrant Trustee then you may lodge a complaint with the Privacy Commissioner. Spam policy

In the course of conducting its normal business activities Quadrant Superannuation Pty Ltd, Trustee for the Quadrant Superannuation Scheme and Quadrant First Pty Ltd, referred to as 'Quadrant' in this Spam Policy, may issue commercial electronic messages from time to time.  This document sets out our policies in relation to the issuance of such communications.

Spam Act

Spam is a generic term used to describe electronic 'junk mail' - unwanted messages sent to a person's email account or mobile phone. In Australia, spam is defined as 'unsolicited commercial electronic messages'. 'Commercial electronic messaging' covers emails, instant messaging, SMS and other mobile phone messaging, but does not cover normal voice-to-voice communication by telephone.

Quadrant complies with the provision of the Spam Act when sending commercial electronic messages. Importantly, Quadrant also makes sure that our practices are in accordance with the National Privacy Principles in all activities where we deal with personal information. Personal information includes our member contact details.

The three key steps Quadrant follows when sending commercial electronic messages are:

  • Consent - Only commercial electronic messages are sent with the addressee's consent - either express or inferred consent.
  • Identify - Electronic messages will include clear and accurate information about the sender responsible for issuing the commercial electronic message
  • Unsubscribe - Quadrant will ensure that a functional unsubscribe facility is included in all our commercial electronic messages and will deal with unsubscribe requests promptly.

Consenting to communications

Commercial electronic messages will only be sent to you when you have given consent.  This may be express consent, a direct indication that it is okay to send the message or messages of that nature, or inferred consent based on our business or other relationships with you.

Complying with the law regarding messages

Quadrant ensures that commercial electronic messages that include a Forwarding Facility contain a clear recommendation that the recipient should only forward the message to persons with whom they have a relationship, where that relationship means that person could be said to have consented to receiving the message.

Complying with age sensitive content of commercial communications

Where the content of a commercial electronic message seeks to promote or inspire interaction with a product, service or event that is age sensitive, Quadrant takes reasonable steps to ensure that such content is sent to Recipients who are legally entitled to use or participate in the product service or event.
